Approved Providers List

What is the Approved List?
The Approved List is a register of contractors and consultants who meet the standards necessary to become a Westminster supplier. The intention of the list is twofold: to ensure that all businesses awarded Westminster contracts meet the necessary standards and also to maintain a searchable database that Westminster business areas can use to find businesses and consultants for upcoming work which falls under the EU threshold.

When Council Departments require works to be carried out under EU thresholds they will use the Approved List to obtain the names of suitable firms that they can approach to tender. Parties who tender are mainly chosen by rotation from the list, although Council officers are able to nominate additional companies based on their previous quality of work and tendering performance.


How do you join the Approved List?
Companies can join the Approved List in two ways:
  • Either, a Project Officer nominates the company for inclusion on the list in which case application forms are sent to those companies.
  • Or, the company makes a speculative application to the Approved List Team. The application will then be forwarded for assessment to relevant Project Officers who will recommend whether to send the company an application form to join the approved list.

Application process and assessments

Once companies receive the Application Form they have 6 weeks to return completed applications. The team then processes the Application within about 8 weeks depending on how long it takes to receive all the relevant details of the Application such as References and Company Accounts.

Companies wishing to joint the Approved List are expected to provide, when requested: Health and Safety Polices, three (3) years Company Accounts, three (3) Business References, an Environmental Policy if they have one available, any relevant Industry Certificates, Insurance Details including either a copy of the Certificates or a Brokers Letter of confirmation. Companies are required to provide council stipulated public liability and Employers liability insurance relevant to the contract threshold.

Continued membership of the list is conditional upon maintaining adequate and up to date Public and Employers Liability insurances.

Please note, the Approved List is not a Preferred Supplier List or a guarantee that companies will be invited to tender or awarded a contract.
